Email Backup helps protect your messages and attachments by keeping recoverable copies of your mailbox data. 

This article explains how Email Backup works, who can use it, how to create and restore backups, and what to expect during the backup and recovery process. By following this guide, you'll be able to manage backups effectively and recover emails when needed.

Why email backup is important

Important emails can be lost unexpectedly due to accidental deletion, technical issues, mailbox migrations, or security-related events. To help safeguard your email data, Email Backup provides the following benefits: 

  • Continuous protection for all emails 
  • Easy restoration in case of accidental loss 
  • Secure email data retention 
  • Ability to back up and restore emails when needed 
  • Peace of mind knowing your data is backed up daily 

 

How email backup works

  • A daily backup of the mailbox is created automatically. 
  • Each backup version contains all email messages in the account at the time of backup. 
  • Users can preview backup versions, search through them, and restore emails. Administrators can also create on-demand backups. 

 

Enable email backup

  1. Go to the Email Backup section. 
  2. Look for the Backup Status column. 
  3. Find the email address you want to manage. 
  4. Use the toggle next to the email address to enable or disable the backup. 
  5. The status updates immediately after the toggle is changed. 

 

Create email backups

Email Backup provides two ways to create backups of your mailbox: 

  • Daily Backup: Automatically creates a backup of your mailbox once every day after Email Backup is enabled. 
  • Backup Now: Allows you to create a manual and on-demand backup at any time. This is useful before deleting emails, cleaning up your mailbox, or making other major changes.  

To create a manual backup, follow these steps: 

  1. Go to the list of email addresses. 
  2. Locate the email account you want to back up, then click View
  3. In the top-right corner, click Backup Now

 

View backup versions

To open a backup version, click View next to the user in the Email Backup section. 

This displays all available backup versions for the selected mailbox. Browse the list and select the backup version you want to preview or restore.

 

Find emails within a backup

To find a specific email, you can search through a backup version and locate the message from there. 

  1. Open a backup version first by following these steps: 
    • Go to the email backup section. 
    • Click View next to the user. 
    • Click View next to the backup version you want to open. This opens the selected backup version for preview. 

     

  2. Then, search for the email within a backup using these steps: 
    • Click Search at the top of the Email Backup interface. 
    • Select one of the available search filters: From, To, or Subject
    • Enter an email address, domain, or keyword in the selected field. 
    • Click Search to display the matching results. 

 

Restore a backup

Different restore options are provided to help you recover only what you need without disrupting your existing mailbox. 

  1. Add to Original Folders  
    • Use this if you want to seamlessly recover missing messages without creating duplicates or overwriting existing emails. 
    • Restores emails to their original folders. 
    • Only missing emails are restored. Existing emails in your mailbox are not modified. 

     

  2. Restore to a Separate Folder 
    • Use this if you want to restore a large number of emails or an entire backup version without mixing them into your current mailbox structure. 
    •  Restores all selected emails into a new folder created in your mailbox. 
    •  The folder is automatically named with the restore date, such as: “Restored Emails 18-11-25” 

 

Frequently asked questions

No. Backup data is stored independently and does not count toward your mailbox storage allocation. 

However, restored emails are added back to your mailbox and will consume mailbox storage. If there is insufficient space available, the restore operation may fail until additional storage becomes available. 

When restoring emails: 

  • Original timestamps are preserved. 
  • Restored emails are marked as unread. 
  • Existing emails are never overwritten. 
  • Attachments and formatting remain intact.

  • All folders, including Inbox, Sent, and custom folders 
  • Trash and Spam folders (if they existed when the backup was created) 

Backups run once every 24 hours at a system-assigned time based on your region. The backup schedule is currently fixed and cannot be customized. See the performance and limits below: 

  • Small restores: Usually completed instantly. 
  • Large restores: May take several minutes, depending on the mailbox size. 
  • Backup versions: There is no limit to the number of backup versions retained. 
  • Processing time: Backup and restore durations may vary based on the size of the mailbox.
